Privacy notice

Personal information collected through this platform is used solely for the accreditation, security and operation of Pre-COP31, and is handled in accordance with the Government of Fiji information management policy. Your name, organisation and country appear on your conference badge. Contact details are visible only to authorised Ministry staff.

Information we collect

  • Registration details: your title, name, position, organisation, country and participant category.
  • Contact details: your email address and phone number. We use these to contact you about your registration. Your email address is also used to sign in to the participant portal and to check in to sessions.
  • Accessibility and dietary requirements: if you tell us about these, we use them to make arrangements for you at the conference.
  • Profile details: anything else you add to your portal profile, such as a short biography or your areas of expertise.
  • Attendance: when you check in to a session, we record the session, the date and time, your type of device and your IP address. If you allow your browser to share your location, we also record where you checked in.
  • Gender: if you give your gender when you check in, and your registration does not already show it, we add it to your registration.
  • Optional questions: whether you are under 30, and whether you identify as Aboriginal and/or Torres Strait Islander or as an Indigenous or First Nations person, if you choose to answer. We use the answers to report on who took part in the conference.

Passport and identity information

If you are travelling from overseas, we collect your nationality, passport number, the country that issued your passport, its expiry date and a copy of your passport bio page.

If you are a Fiji national, we collect the type of ID you hold, the ID number and a copy of the ID.

We use this information to confirm your identity when you collect your badge at the accreditation desk. Only conference administrators can see your passport or ID number, the country that issued your passport, its expiry date and the copies of your documents. We keep a record each time someone opens one of these copies. Your nationality also appears on your letter of registration.

Your badge and QR code

Your badge shows your name, position, organisation, country, participant category, registration number and a QR code. The QR code holds only a random reference. Authorised staff can use it to find your registration. The same code is printed on your letter of registration.

Who can see your information

Authorised staff can see your registration details, contact details, accessibility and dietary requirements, your answers to the optional questions, and attendance. We send emails to you through an email service provider.

How long we keep your information

We keep your information for 24 months after the conference. After that, the secretariat reviews it and deletes what is no longer needed.

Access, correction and deletion

You can update some of your details, such as your phone number and dietary requirements, in the participant portal. To see the information we hold about you, or to ask us to correct or delete it, please email support@greenzone-precop31.com.
